Loading Trucks

Loading trucks via Deacom allows for users to reserve or move inventory to a list of Sales Orders in bulk based on the Ship Via on the order.

Business Case

Loading trucks via Deacom allows for users to reserve or move inventory to a list of Sales Orders in bulk based on the Ship Via on the order. This process makes it more efficient to reserve to a Ship Via (Route, truck, etc…) in one step instead of reserving to each order individually, which in turn allows for trucks to go out the door faster.

Royal Crest Dairy will utilize two options when loading trucks in the Deacom DSD application.

  • First Step: Printing Picklists - This process is completed using the Sales Order Reporting and Pre-Staging functions, which allows the user to print a consolidated pick list to show all inventory that should be loaded onto the trucks. This approach is beneficial to customers who utilize lot control and need to verify which lots will be used for sales orders.
  • Second Process: Move Inventory and automatically reserve to sales orders - This process is completed by using WMS to move inventory into the appropriate Inventory location. This location will then be used to sync inventory to the route when the route is started on the DSD app.

IMPORTANT NOTE: When using the second process, the following steps must be completed first.

  • The DSD Inventory Sync field must be checked on any Ship Via Method that will automatically have inventory reserved to sales orders.
  • The DSD Inventory Location must be selected on all appropriate Ship Via Methods. This defines the Location that inventory will be pulled from when reserving to sales order when starting a route in the DSD application.

Process

First Process: Pre-stage Inventory

Once Sales Orders have been entered and Routes have been planned, proceed with the following steps. 

Print Individual Pick Lists 

  1. Navigate to Sales > Order Reporting.
  2. Report Type: Order Summary. Populate the Ship Via with the appropriate Route number.
  3. Click “View.”
  4. Click “Print.” Ensure the Report is Sales Pick List and the Selection is All. Select the printer you would like the documents printed to.
  5. Click “Print.”

Print Consolidated Pick Lists

  1. Navigate to Inventory > Pre-Staging.
  2. Set the "Transaction Type" to "Sales Orders".
  3. Check the "Docs Only - Do Not Stage" flag. This allows the user to print the consolidated pick list without staging inventory.
  4. Ensure Short Inventory is set to ‘Prompt/Continue.’
  5. Change the "Transaction Date" if necessary.
  6. Set the "Date Based On" to "Due To Ship" and specify start and end dates.
  7. Select the appropriate Ship Via to select your Route.
  8. Select the appropriate Facility.
  9. Click “View.”
  10. Select orders to be moved to the truck location by using the "Move" or "Move All" buttons, then click "Continue".
  11. The Inventory to Stage form will show a summary of the orders selected with item and quantity information. After reviewing the information, click "Continue".
  12. On the Copies To Print form, select the appropriate printer to print the Staging Picklist (a configurable Report Layout), which serves as the consolidated pick list for the selected orders.

Second Process: Move Inventory and automatically reserve to sales order option

Move Inventory:

Once pick lists have been printed, the inventory must be moved to the DSD truck location. This can be done using the main Deacom application or WMS.

  1. Refer to “WMS – Move Inventory” SOP for further details.

Automatically Reserving to Sales Orders:

  1. In the DSD application you will need to specify the correct Location Type, Location and Ship Via Methods in the Route Options.
  2. Once a route is started in the DSD application, inventory will be moved from the DSD Inventory Location specified on the Ship Via Method to the Location Type/Location/Ship Via Method in the Route Options of the DSD application for those sales orders with a due to ship of today’s date. Note that inventory is moved and reserved to the appropriate sales orders at the same time.

Note: Once inventory has been moved to a truck and a route is started, the inventory on the truck will have an Allocation Type (fi_type) of "DSD" which does not allow the inventory to be used by another application until the route has been ended.
